Personal Assistant to the Project Director

We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive administrative and executive support to the Project Director. The incumbent will assist in managing day-to-day activities in an efficient and effective manner, subject to the guidance and directions from the Project Director and Directors ensuring the efficient management of tasks and communication within the organization.

 

The Challenge:

The successful candidate should be a highly organized and efficient individual who will have an excellent opportunity to exercise their own initiative and judgment when dealing with special assignments in a fast-paced, forward-thinking organization.

As the primary point of contact as the Personal Assistant, you should possess excellent communication and interpersonal skills & professionalism.  You should be resilient, solutions oriented and have experience in managing confidential matters.  The Personal Assistant position is suited to a mature, grounded, and stable individual who can identify with the organisation's culture and ethos.

Key Responsibilities:

  • Manage the Project Director’s schedule, appointments, and meetings.
  • Provide Ad-hoc support to Directors and Engineers when required.
  • Prepare and distribute agendas, minutes, reports, and presentations.
  • Take meeting of minutes, distribute promptly, and track action items.
  • Handle correspondence, emails, and phone calls professionally.
  • Maintain and organize electronic and physical records for easy retrieval.
  • Act as a liaison between the Project Director and external stakeholders.
  • Coordinate logistics for meetings, conferences, and corporate events.
  • Assist in task and project management, tracking progress and ensuring deadlines are met.
  • Manage multi-tasks and prioritize daily workload
  • Maintain confidentiality and professionalism at all times.
  • Provide general administrative support to the office as required.

 


Minimum Requirements:

  • Minimum of four (4) years’ experience as a Personal Assistant, Secretary, or in a similar administrative role.
  • Diploma in Office Administration/Secretarial or related qualification
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Project) including the ability to use Excel and insert formulas.
  • Valid Code B/BE driver’s license.
